Overview

Our personnel have staffed countless regional and international meetings throughout North America and Europe and have become the leading innovators of speaker ready systems procedures.

In the past this service was provided by audio/visual companies as part of operating projectors and sound systems etc. However, this is increasingly being seen as a task best handled by specialists. 

OnSITE services involve engaging our personnel on-site at the conference venue to receive and manage talks. Management of computers and distribution of talks can also be included. Unlike Audio / Visual companies, we have been presentation producers for many years, our superior knowledge of PowerPoint and our expertise managing networking and multi-media computers, have put us in demand at conferences where a high level of presentation management is required.  

After managing tens of thousands of PowerPoints in hundreds of locations, and having been presented with countless technical issues, we have developed many custom procedures and software tools that enable us to manage volumes of talks and still give each presenter the individual attention they expect.

As with the OnLINE service, we examine every presentation individually, running it through a series of technical procedures to establish its integrity and visual clarity, fixing issues as they arise. We work with files that were uploaded, or submitted in the Speaker Ready Room by CD ROM, Memory Stick, Zip, or Laptop. We carry a wide assortment of tools and programs with us to help us manipulate the PowerPoint and video files, as well as,  to customize the local computers so they are better suited to display a wide variety of multi-media files. 

 

As time allows we work with each presenter to enhance the visual clarity of their PowerPoints. Generally speaking, medical/scientific presenters create their own PowerPoints, and, as their expertise lies elsewhere, it is common to see design characteristics which distract from good communication. We often see color combinations that will not be legible when projected on a big screen. Frequently, medical presenters crowd the edges of their slides with too much information, making their content difficult to read. As it is also very common for presenters to feel that they cannot fit their talk into the time allowed, we also help with animations and transitions to help them advance more quickly from one slide to the next.

 

We have also developed procedures for managing activity in the Speaker Ready Room, optimizing the flow of people and presentations, allowing for rehearsals, inputting and review talks, printing notes, and association business.

Our staff will design, install and manage sophisticated network solutions as required to ensure your conference gains the fullest advantage of new technologies. File sharing, firewalls, internet, virus protection, permissions, etc. These are all part and parcel of efficient, secure presentation management.
