Submission Check-List

When
submitting a PowerPoint presentation to a conference where it will
be shown on a large screen there are a few steps to consider prior
to submission. Many of these are covered in detail elsewhere in
these Presentation Tips, however, use this a quick checklist. |

Unless
your organization declares otherwise only use Microsoft
PowerPoint. NOTE: Check with your meeting organizers to see
which version of PowerPoint they will be using; if they are using
PowerPoint XP then you can bring any version of Windows Microsoft.
However, if they are using PowerPoint 2000, and your presentation
is in PowerPoint XP, then we recommend that you modify your
transitions so that they are compatible with those available with
the 2000 version. |

Your
slides will look their best if they are formatted for electronic
projection, rather than to be outputted to 35mm slides. To check
the format, click “File” on the menu bar, then “Page
Setup” – slides should be sized for: “On-screen Show”.
Please note that changes here will likely cause a need to make
adjustments to resize the content of your PowerPoint presentation
to fit the new screen format; changing from "35mm Sides"
to "On Screen show" compresses the image in from the
sides. |

For
clarity, we recommend a sans serif typeface such as Helvetica or
Arial. |

Before
using anything other than Arial or Times Roman fonts, please check
with conference officials to see if special fonts can be
installed. If so, you must include a copy of the font used on your
CD ROM with the rest of your presentation files. You will find
these fonts located at C:\Windows\Fonts. (the fonts will have .tff
as their file extension). |

When
naming your PowerPoint Presentation - use only Western
alpha-numeric characters. Do not use any characters that
incorporate a dash or dot etc. as part of the character, example:
å or à. |

Note
that two or more simple slides are usually better than one
complicated slide. |

Place
all audio and video clips linked with the PowerPoint presentation
into a single file folder. |

Use
PowerPoint's Pack and Go feature if you are uncertain about how to
gather all of the necessary files into one folder. See "Creating
A Pack And Go File". |

As
a transfer medium, use either a 100MB, 250MB Zip disk or CD-ROM
CD-R only (Do not use a CD-RW). We highly recommend the new USB
Memory Stick. To see an example see the IBM. |

Remember
that you are only one of many presenters. Not everyone can upload
their presentation at the last minute. |
